Allocation options

By space

Allocations can be done typically by space, meaning teams are allocated their own dynamic neighborhood. Or if people are being allocated without a team they’ll be allocated space/s

By zone

Allocations can be done by zones on the floorplan (zones can be configured via the floorplan component in the workplace tab of the admin console), meaning the allocation the user sees in their notification or the user app shows the zone on the floorplan of where the persons/teams allocation actually resides, and the people within that zone can self organise who has what space within the zone

Notifications

Receive notifications about scheduling activities and automatic allocations from Aidra—all without opening the app.

Custom teams

Users can create custom teams in the app and link them to existing teams. For example, you could create a custom team called "Scrum 1" and connect it to Engineering—this allows you to schedule with Scrum 1 while being allocated space next to Engineering.

Smart devices

  • Meeting room display: Use our iOS app or web interface to set up a display outside meeting rooms showing room occupancy times, attendees (or anonymous mode), and allowing users to claim unused rooms.

  • Floor plan monitor: Use our iOS app or web interface to display an interactive floor plan that shows team allocations across the workspace.

MS Teams app

Access gospace directly through Microsoft Teams with a dedicated app that lets users schedule, receive notifications, and view their allocations without leaving the Teams interface.

Manual-scheduling

Our basic offering lets users schedule manually by selecting a location and entering their requirements. Aidra then automatically allocates an appropriate space or room.

Workspace booking

  • Full day - Book a workspace for yourself or your team for an entire day

  • Shifts - Book a workspace for specific time slots within a day (e.g., 9–11 AM and 3–5 PM)

  • Invites - Book space together with team members or other colleagues

Room booking

  • Full day - Reserve a room for yourself or your team for an entire day

  • Shifts - Book a room for specific time slots within a day (e.g., 9–11 AM and 3–5 PM)

  • Invites - Book a room together with team members or other colleagues

Meeting room booking

Schedule meetings through gospace by entering the time, duration, and invitees—gospace will automatically allocate the closest available room that meets your requirements.

Auto-scheduling

This feature set is ideal for highly dynamic organizations. gospace relieves employees from the frustrating process of choosing and booking desks by automating the scheduling process.

Fixed Days:

Users can set recurring days of the week in their settings to automate scheduling. For example, they can select Monday, Wednesday, and Friday to be automatically allocated workspace with Engineering on those days.

  • Set maximum: Configure the maximum number of fixed days allowed per location

Intelligent Scheduling:

Based on previous attendance data (Meraki, Snowflake or SFTP), Aidra automatically schedules up to 10 days in advance when a user's probability of attendance exceeds configurable thresholds.

  • Likelies - Users receive an invitation to come in when their probability is 50% or higher

  • Auto-schedule - Users are automatically scheduled and allocated space when their probability is 80% or higher

Improved Invites

  • Invite recommendations - gospace learns your usual team patterns and suggests invitees based on your scheduling history. Instead of searching for colleagues to invite, you can quickly select from personalized recommendations.

Auto-allocate

Our auto-allocate feature automatically assigns team zones based on forecasted or peak attendance, removing the need for scheduling entirely. Employees simply receive notifications when their team zone changes.

Daily aggregate forecast allocations

gospace uses attendance data to generate team forecasts with 97% accuracy. Teams receive desk allocations based on aggregate forecasting. For example, while 30 team members might schedule themselves manually or automatically, the team could be allocated 40 spaces if that's the aggregate forecast for the day.

With the daily setting, allocations remain consistent from week to week (Monday to Monday). Team zones only change through dynamic allocation, where gospace adjusts the size of the space allocated to the team based on the team's daily forecast.

Weekly aggregate forecast allocations

Weekly aggregate forecasted allocations determine space based on the aggregate peak attendance for each team. This means team zones maintain a fixed size based on peak attendance rather than fluctuating with daily forecasts.
