How to Schedule Space

Step 1: Access the Schedule Tab

  1. Open the gospace app on your device.

  2. Navigate to the "Schedule" tab.

Step 2: Select a Date

  1. In the Schedule tab, you'll see a calendar view of the current month.

  2. Tap on the desired date for which you want to schedule space.

Step 3: Scheduling

  1. After selecting a date, you'll see a "Nothing scheduled for [selected date]" message.

  2. Tap the "+ Schedule space" button below this message.

Step 4: Provide the following information:

  1. Location: Select the desired office location from the dropdown menu to schedule for.

  2. Workspace Type: Choose between "Workspace" or "Room" options (these can be turned on or off per location in the location settings on the admin console).

  3. Team (Optional): If you want to schedule with a team, select the team from the dropdown menu.

  4. Date: Confirm or change the selected date(s). You can schedule for multiple days if needed.

  5. Invite People: Add colleagues you want to invite to your space.

  6. Preferences: Set any specific preferences for your workspace (e.g., "standing desk"). These are labels created by admins to help AIDRA allocate appropriate spaces.

Step 5: Finalise Scheduling

  1. Review all the details you've entered.

  2. Tap the "Schedule Space" button to create the intention.

Important Notes

  • When you schedule with a team, any other user who schedules with the same team will be seated together.

  • If you set a preference (e.g. "standing desk"), AIDRA will do its best to allocate a space that matches your preference, subject to availability.

  • The intention will appear in your schedule tab, marked as confirmed.

  • Invited users will need to accept the invitation unless auto-accept is turned on for that location in the admin console.

Cancelling or Modifying a Scheduled Space

  • You can cancel or modify a scheduled space from your schedule tab after creating it.

  • Cancelling will delete the intention for just yourself, not all attendees and free up the space for that date and time.
